Luggage in Japan: When to Forward Your Suitcase and When to Take It

Forward a large suitcase when it saves you from carrying it through an awkward transfer or a short overnight stop. Keep it with you when you are making a simple hotel-to-hotel move and want access to everything that evening.

For a Tokyo–Kyoto trip, either approach can work. For Tokyo, a night in Hakone and then Kyoto, sending the main case straight to Kyoto can make the middle stop much easier. The choice depends on the delivery date the carrier can offer and whether the receiving hotel will accept it.

This guide covers domestic luggage forwarding and the train rules most relevant to our [seven-day Japan route](/trips/japan-7-days) and [two-week itinerary](/trips/japan-14-days). It does not assume every hotel offers the same service.

Take it on the train

Choose this for a direct journey when the suitcase is manageable and you want it that night. Measure it before booking. A large airline-checked suitcase may require a particular Shinkansen seat reservation even though it was accepted on your flight.

You are paying for convenience in a different way here: no shipping arrangement or overnight bag, but you carry the case through the stations and onward to the hotel.

Send it to the next hotel

Yamato’s TA-Q-BIN handles parcels up to a combined length, width and height of 200cm and a maximum weight of 30kg. Use its route and size calculator for the actual price. There is no single national suitcase rate.

The carrier describes next-day delivery to most areas, but that is not a promise for every hotel pair. Ask for the available arrival date for your specific shipment before handing over the case.

Skip an overnight stop

For Tokyo → Hakone → Kyoto, ask the Kyoto hotel whether it can receive the suitcase under your reservation name, then arrange an arrival date that fits. Carry a smaller bag for Hakone and for any additional night before the case arrives.

The same idea can work for a short side trip from a longer city stay. You do not need to ship the suitcase to every place you sleep. Choose the next accommodation where you will actually want its contents.

Start with the receiving hotel. Ask whether it accepts prepaid luggage deliveries, what name and address to use, and how early a bag may arrive. A staffed hotel and an apartment with self-check-in are different situations.

Then ask the sending hotel whether it can dispatch the bag and when its collection cutoff falls. If it cannot, Yamato lists sales offices and other sending methods. Services and cutoff times vary by office; very large parcels are not accepted at every convenience store.

Have the receiving hotel’s full address, phone number and your booking name available. Ask staff to include the check-in date so the hotel can match the case to your stay. Keep the shipment receipt and tracking details.

Pack the smaller bag around the confirmed delivery date. For a two-night gap, carry two nights of clothing and toiletries, plus the things you need during the day. Medication, travel documents and essential electronics should stay with you. The point is to make the route easier, not spend the next evening wishing you had kept something out of the suitcase.

For the Tokyo–Kyoto–Osaka corridor, JR Central’s luggage guidance distinguishes bags up to 160cm in combined dimensions from oversized bags above 160cm and up to 250cm.

• Up to 160cm total: the oversized-baggage reservation requirement does not apply. Use an appropriate rack, footwell or available storage area.
• More than 160cm and up to 250cm: reserve a seat with an oversized baggage area when buying the train ticket.
• More than 250cm: the bag cannot be brought aboard under these rules.

Add height, width and depth. For example, 75 + 50 + 30 = 155cm, while 80 + 55 + 35 = 170cm. Those two suitcases fall on different sides of the reservation threshold.

JR Central’s general carry-on rules also specify up to two items, each no more than 30kg, with a maximum individual length of two meters. The size sum is not the only limit.

In SmartEX, select the oversized-baggage seat category rather than buying an ordinary seat and assuming space will be available behind it. The booking guidance specifically notes that a train can have seats available while its oversized-baggage seats are full.

The unreserved storage trial on some Tokaido and Sanyo Shinkansen trains does not change the oversized-bag rule. Its notice still directs passengers with bags above 160cm to reserve the appropriate seat.

These are not universal rules for every Japanese train. For a different railway or service, use that operator’s baggage guidance. If your only available train lacks the required space, compare another departure with forwarding the case.

Yamato’s Airport TA-Q-BIN asks you to send luggage by two days before departure, or three days in some areas, subject to the sending counter’s deadline. You collect it at the designated airport counter before flying.

That makes airport delivery a decision for earlier in the stay, not automatically something to arrange while checking out on flight day. Confirm the airport, terminal, collection counter and its hours through the official counter list.

Limited same-day services also exist at selected counters. Treat them as a separate product with its own coverage and cutoff, rather than assuming ordinary TA-Q-BIN is same-day delivery.

For the [Tokyo and Kyoto week](/trips/japan-7-days), a manageable suitcase on the direct train is a reasonable default. Forward it if avoiding station handling is worth the fee and an overnight bag to you.

For a multi-stop [ten-day trip](/trips/japan-10-days), identify the shortest stay first. That is where forwarding past a stop may help most. Keep enough with you for the confirmed gap.

For a final few days back in Tokyo, getting the suitcase to that hotel may be more useful than sending it directly to the airport, especially if you want to repack after shopping. Airport delivery makes sense when the earlier dispatch deadline fits your plans and you are happy to finish the trip with the smaller bag.
